Call to order:
The meeting was called to order at 5:30 pm. Ivan Jimenez (President) thanked volunteers and board members who joined the meeting. Ivan introduced the agenda.

Last Year’s AGM Minutes:

Approved unanimously. Motion moved by Lavinder Rai and seconded by CarolAnn Burgmann.

President’s Report

First of all, I would like to express my gratitude to our board of directors for their invaluable contribution to the club this season. Their help and support made a huge difference in the proper management of the club. Whiteoaks Park Tennis Club is a volunteer-run tennis club, and the success of our club depends on the willingness of our members to participate on the board and volunteer their time to make our club a great place to play tennis. On August 27th, 2024, the city of Mississauga sent an invoice to the club for the reconstruction of courts 1 to 5. The club’s share of the cost amounted to $308,755.10. Consequently, the club’s reserve fund will decrease significantly from $362,602 to $59,846 after the payment is made to the city. Over the next two years, the club will need to save enough resources to reconstruct courts 6, 7, and 8.

Membership (Catalina Mejia)

2024 Registration opened on March 1st and we reach capacity in less than 6 weeks. Only junior accounts were allowed to register after we reached capacity. As a result, this year’s total membership count is 1,219.

  • On-line registration opened at midnight March 1st
  • A “staggered” registration was used to comply with the City residency requirement and our by-laws.
  • Numerous requests for account “upgrades” / changes were processed
  • Numerous FOB were activated.
  • Responded to various inquiries from members throughout the season.

Our 2024 membership volumes increased from 1,118 members in 2023 to 1,219 members in 2024 or 101 more members. This represents a 9% increase compared to 2023.

Secretary (Shaughn McCluskey)

  • Documented meeting minutes and correspondences with members
  • Supported communication with members communications

House League (Shaughn McCluskey)

  • Managed and ran mixed house league.
  • Organized the rating session for new house league.
  • Ran the team selection process
  • Organized the season ending party and round robin.

Tournament Director (Vincent Nam, Tarique Khan)

  • Scheduled matches and allocated courts
  • Was on-site for the duration of the tournament
  • Ensured the timeliness of courts
  • Recorded all match results
  • Managed issues and resolving conflicts that arise
  • Answered questions asked by the players and their families
  • Prepared trophies and food & drinks

Facilities Update (Absalon Figueroa)

The main activities involved with the “Facilities director ” were achieved smoothly with the help of volunteers.

  • Removal and installation of the Windscreens, and court nets.
  • We installed a new court separator between courts 4 and 5.
  • New Light fixtures installed in the washrooms area.
  • Replacement of light switches, replacement of the Water fountain ‘bottle filler’ tap or spigot.
  • Responsible for replenishing supplies for the clubhouse.

Social Events (Shelley Li)

  • Organized club social events
  • Various help during the tournaments

VP and Communications (Carol Ann Burgmann)

Our Vice-president, Carol Ann Burgmann was in charge of all club communications and some of her accomplishment includes:

  • Updated website with President
  • With President, interviewed candidates for position of Court Attendant.
  • During President’s absence, supervised court attendants at the beginning of the
  • season including ensuring training for new attendants.
  • Ensured sufficient captains for Intercounty (Ladies & 55+ teams) and Lakeshore League teams (8)
  • Ensured no conflicts with match schedules for 5 Intercounty teams.
  • Booked court time from May until August/September for:
  • 3 Intercounty Ladies team matches
  • 3 Intercounty Ladies team practices on Mondays (except holidays)
  • 2 +55 Intercounty team matches
  • 3 Lakeshore League team matches
  • Sunday night House League matches
  • Ladies Friday morning Round Robins
  • Ladies Tuesday morning House League
  • Provided advice to President on a variety of issues throughout the season e.g. social activities and member complaints.
  • As Communications Director, prepared 7 newsletters to members on a variety of topics e.g. registration opening, windscreens, updates, Wimbledon breakfast, pizza night etc.
  • As Communications Director, responded to various inquiries throughout the
  • season from members and the general public via info@whiteoakspark.com or redirected inquiry to appropriate Board member to respond.
  • Assisted Social Director with Opening day social and Wimbledon breakfast.
  • Investigated complaints, prepared written report and prepared response from Board.

IT Director (Vincent Nan and Raghu Madhavan)

Vincent Nan club IT Director, contributed the following:

  • Help Absalon to prepare for the winter coming, such as drain and clean up the toilet, close the water, empty water tank and etc.
  • Help Absalon to prepare for the clubhouse opening, such as some minus repairing, open the water and set up the water fountain and etc.
  • Help to set up the wind net of the courts and cable between court 4 and 5.
  • Ran TP tournament software.
  • Work to organize the tournaments.
  • Helped on the social events.
  • Attend board meeting and involve the discussion and decision making.

Raghu Madhavan, club IT Director, contributed the following:

  • System maintenance of the club software (Jegysoft) by following up on any issues that any members may raise.
  • Ladder set up and maintenance for 2023 (Singles and Double Ladded Box).

Tennis Lessons (Attila Nagy)

We are happy that Attila Nagy continues to be our Head Tennis Pro. He provides a wide variety of lessons and clinics that our members enjoyed. We look forward to seeing him again next year.

Club Court Attendants

This season we had the following part time court attendants:

  • Court attendants did a good job keeping the Clubhouse and tennis courts clean and well maintained as well as greeting our members upon entry and verifying their court bookings when they arrived at the club. Overall Court Attendants received very positive survey ratings from members.

  • In 2023, 63 members responded to the end-of-season survey. In 2024, we received responses from 129 members.

Once again, the board of directors is run by member volunteers who volunteer their time to help manage the club. Our club success largely depends on the help of our member volunteers. The 2024 board made many positive contributions to help make Whiteoaks a great place to play tennis.   • There was suggestion to fundraise from members or businesses in the community through sponsorships.
  • Work with the city to increase parking spots
  • Take steps to improve member engagement in round robins program
  • Engage more volunteers with running the tournaments and social events – make this more formal so that members sign up for specific events, days and times.
