ONLINE COURT BOOKING RULES
1. Advanced online booking is open daily at 7:30 a.m. and “same day” online booking opens daily at 12:01 am and can be done remotely by logging into your account or through the club attendant who will have a computer in the
clubhouse.
2. All 8 courts can only be booked through the online system by logging into your member account.
3. Upon entering the club, each member must check in with the club attendant on duty and confirm his/her reservation i.e. provide the court number, player names and time of play.
4. Court 8 may not be available if in use by the pro.
5. Online booking on all 8 courts is from 7:00 a.m. to 10:30 p.m. every day of the week including weekends.
6. Members can book a court up to seven days in advance. Three bookings are allowed within the seven days and as bookings are used, additional booking can be made in the online booking system.
7. Members may only book a court which they themselves will play on the entire time. Booking courts for friends or family is not
allowed.
8. Only the members whose names appear on the booking can be on the courts playing.
9. A ball machine can only be used on courts 5 and 8, make sure to select “Ball Machine” as player two when booking a court. Ball Machines are not allowed on the courts from 6:30 p.m. to 10:00 p.m. seven days a week except in the courts with divider(s) as long as the court is booked for and used by 2 or more players.
10. Two people are allowed to book a court for either 30 minutes or 60 minutes on any of the 8 courts. Additional same day bookings are allowed if there are courts available.
11. A Member can reserve a court for 90 minutes for doubles play on any of the 8 courts if there is availability. Booking works on a “first come
first served basis”.
12. Four members are permitted to book a court for a minimum of 30 minutes up to a maximum of 90 minutes. NOTE: Two 60-minute single bookings cannot create 2 hours of doubles play time.
13. A confirmed booking has precedence over occupancy of a court by a Member who has not booked it. If a slot is found to be un-booked,
and a Member books it – even if the start of the slot time has passed and another Member has walked on without booking the court –
the Member who made the booking has the right to use that court and the Member occupying the court will need to give it up. For example, if it rains and then stops, players could resume play should they squeegee the court and there is time left in their booking. Once their booking ends, they must give up the right to use that court and vacate. At the same time, in the case of a rain event, if there are courts available, another court can be booked in anticipation of the rain stopping and that it is safe to continue play. The bookings that are in the system have precedence over a member who has not booked a court.
14. A courtesy email confirmation will be sent after the court is booked online to all participants. Whiteoaks Park Tennis club won’t be at fault if a member does not receive the email confirmation due to technical reasons or incorrect setup of the members email account. For example, confirmation emails going to spam or junk folder.
15. Please be respectful and mindful of others. Respect the members and the common rules of tennis etiquette.
16. A guest may visit a maximum of 4 times per season and must be accompanied on court by a member. When a member makes an online booking with “Guest”, the system automatically creates a $15 guest fee charge to the member’s account and guides the member to make the online payment through Jegysoft (The club membership software).
17. On a daily basis certain playing times will be blocked off for court maintenance. During those times Members are not to be going on the courts even if they do not see anyone working on them. Members can check the maintenance schedule online daily even if the maintenance is during a time that online booking is not allowed for members.
18. Tournaments, round robins or lessons as approved by the Executive have priority on courts. Check the website for updates on rescheduled events due to rain, or deviations from the Online Booking System.
19. After 6:30 P.M. juniors may only play if an adult member is on the court with them.
20. One person is allowed to book a court for 30 minutes by themselves and use a ball hopper on courts 1, 5, 6 and 8 before 6:30 p.m. Ball hoppers are not allowed on the courts from 6:30 p.m. to 10:00 p.m. seven days a week except in the courts with divider(s) as long as the court is booked for and used by 2 or more players. The use of ball hoppers on courts 1 and 6 are allowed provided no one is playing on the adjacent court. A singles player is allowed to book a court for 30 minutes at the time to practice serve. To book courts 1, 5, 6 or 8, make sure to select the 30 minutes time slot and use “Serve Practice” as player two.
21. All players must vacate the court promptly when their court time is over.
22. No more than four (4) players are allowed on the court at any time except for Tennis Lessons
23. Appropriate tennis attire is required. Non-marking tennis shoes must be worn.
24. Please observe common rules of tennis etiquette.
25. Smoking is not permitted anywhere in the Tennis Centre.
26. Children and pets must not enter the playing area and must not be left unattended or be disruptive to tennis players.
27. In the case of any dispute or difference of opinion, members will consult the Club Attendant and will abide by attendant directions. NO disrespectful behaviour (including shouting, arguing or fighting) will be tolerated.
CANCELLATIONS, NO-SHOWS AND PENALTIES
1. Courts must be claimed within 15 minutes of start time or the court will be released by the club attendant so other members may book and use the court. If the member is a ‘no show’, then a written warning will be sent to the member. If the “no show” continues, then the member’s booking privileges will be suspended for 7 days.
2. Cancellation of court bookings can be done without penalty up until 1 hours before the start of the booked slot. Members can make
cancellations themselves online or contact the club at 905 855-0900 or email the club at attendant@whiteoaksparktennis.com. Cancelling courts within the 24 hours prior to the reservation should only be done due to inclement weather or unforeseeable circumstances and will be monitored.
3. Cancellations made less than 2 hours prior to the booked slot will result in a written warning if there are no other courts available at that time. If a further cancellation is made less than 2 hours before the booked court time, then the member’s booking privileges will be suspended for 7 days.
4. If courts are closed due to weather or other emergencies, members are required to cancel their reservation. If you are unable to cancel the booking through your online account, please email info@whiteoaksparktennis.
5. Where there are abuses of the online booking system, those members will be given a verbal or email warning. If the abuse persists, a second warning will be sent to the member. If the abuse still continues, then the member’s booking privileges will be suspended for 7 days.
6. A player not following the online booking rules or any other club rules may be subject to termination of membership.
